Export to Word and PDF - page tools
Overview
You can export a document to PDF or Word using the page tools menu. When exporting to PDF or Word, the export respects the document's Published versus Draft state when a workflow is applied, and it includes a final state (same-space publishing is active).
What is exported?
Workflow state | Export - user edit permission | Export - user view-only permission |
|---|---|---|
No workflow |
Unrestricted workflow state (Applied workflow does not have a final state) |
Draft workflow state (Applied workflow has a final state) |
Final workflow state |
To ensure edit and view-only users view and export the same version when the document is in the final state, when a document is updated in the final state, the workflow usually includes an automatic change of state. | ||
See State status indicator circles and Publishing for more information.
Draft state exports
When exporting a document that is in a draft workflow state, the exported file includes the state name under the page title.
