Export Metadata - space tools

Overview

The space tools Export Metadata utility lets you store the document metadata and its values that you have in pages and blog posts, and include them in a migration to the cloud. v7.9.0+

After exporting the metadata in a space, the following metadata is added as content properties in each document and migrated with the document:

Workflow parameter data at the space level is included in the migration data with the space workflow migrated to the cloud.

Pages with no workflow activity do not have metadata exported.

When would I want to use this?

The Export Metadata utility

Prior to migrating to the cloud, it lets you

  • store and include document metadata to include in the migration to the cloud

When using the Atlassian Confluence Cloud Migration Assistant migration, export metadata completion is checked for each space. Spaces in the migration plan where the utility has not been used are listed in downloadable reports in the Confluence Cloud Migration Assistant vendor app under pre-migration checks.

Export metadata

You can use the Export Metadata option to store the metadata for each page and blog post and include it in the migration to the cloud.

In space tools:

  • Navigate to the Document Management dashboard

  • Choose the Export Metadata tab

Under Export Metadata:

  • Choose Export Metadata

The metadata and values are exported from the following:

Workflow parameter data at the space level is included with the space workflow in the migration.

Each page and blog post contains metadata as a JSON content property. The metadata can be retrieved in the Confluence Cloud site using the Comala Document Management Cloud document metadata page macro.

Workflow activity

From Comala Document Management v7.10.1, the legacy workflow history for each page with an applied workflow is automatically included in the migration data as a custom content CSV file attachment. This is for use as an auditable record and is not accessible by the Comala Document Management workflow in your cloud site.

This workflow history is not accessible from the workflow in the cloud site, but can be viewed for audit purposes using the View Historical Activity option in the document activity report for each page.

However, in versions of Comala Document Management prior to v7.10.1, the space tools Attach Activity and Metadata utilities are available to let you manually create and add a CSV attachment to a page or space home homepage before migration.
