How can I preserve workflow history when migrating my data to Confluence Cloud?

Overview

From Comala Document Management 7.10.1, when migrating your pages to Confluence Cloud, the legacy page workflow events and activities are automatically included in the migration data for each page. This can be used as an auditable record of who updated and approved the page and is accessed using the View Historical Activity option in the document activity report on each page in your cloud site.

However, prior to Comala Document Management v7.10.1, if legacy workflow history for audit purposes is required in the cloud site, you had to run the Attach Activity utility before migration. This option was available in Space tools > Document Management Dashboard > Attach Activity and Metadata tab.

Before migration, you must still run the Export Metadata utility to include page metadata in the migration for each page.

Can I still use the Attach Activity utility?

It is recommended to upgrade to the latest version of Comala Document Management to undertake a migration. This supports a more robust migration and automatically includes the attachment of the workflow events and activities history as a CSV file to each page with workflow activity. It also ensures compatibility with the latest version of Atlassian Confluence Migration Assistant.

If you have a version of Comala Document Management prior to v7.10.1 installed in your hosted instance, the Attach Activity and Metadata utility is available and can be used to create a snapshot of page workflow events and activity.

Prior to:

  • Clearing workflow history in your hosted Confluence space (using the space Clear History option), the Attach Activity utility lets you create a record of workflow events and activity for a document as an attachment

  • Migrating to Confluence Cloud, the Attach Activity utility lets you create auditable records of page workflow events and activities that are included as attachments for the migrated pages and space

To run the Attach Activity utility in Comala Document Management Data Center v7.9.2 and earlier, in the Document Management dashboard

  • Choose the Attach Activity and Metadata tab

Under Attach Activity

  • Use Export per page to export workflow events and activity for each page in the space. The workflow activity is added as a CSV file attachment to each page and blog post with an applied workflow.

  • Use Export single ZIP to export workflow events and activity for all pages in the space as a CSV file attachment on the homepage

When expanded, the space home page zip file includes a CSV file for each page in the space with a history of workflow events and activity.

Each time you run the utility, an additional CSV file is generated and added to the page as a dated file attachment.

The Attach Activity utility generation of file attachments is ignored by any workflow triggers with the attachmentadded or attachmentchanged event to avoid triggering undesired actions.
