Document activity upgrade questions

Comala Document Management Data Center versions 7 and later use document activity instead of page activity to record and track workflow events and activities on pages and blog posts with an applied workflow.

After installing Comala Document Management 7.0+ for the Data Center, users can continue working with Comala Document Management and choose the upgrade for the data on a space-by-space basis.

After installing v7.0+, the following spaces use document activity when a workflow is applied

  • A new space

  • An existing space that did not have a workflow previously applied to any document in the space

  • Yes, an upgrade can be appropriate without a pre-upgrade check if the global administrator has undertaken these checks in a staging environment or similar and is confident of success.

  • No, if an upgrade has failed. A pre-upgrade check will need to be run for that space before reattempting the upgrade

If the pre-upgrade check for a space does not contain errors, both the pre-upgrade checks and the data upgrade can be undertaken in the same action.

  • Number of spaces in the instance

  • Number of selected spaces in an upgrade - long-running tasks are run in parallel

  • Number of pages with previous workflow activity history in each space

  • Number of activities

These can affect your decisions when planning the data upgrade, as Read Only Mode must be enabled to upgrade the data. However, the pre-upgrade checks can be run without the need to enable Read Only Mode.

  • On updating your site to Comala Document Management 7.0+, these spaces have Document Activity automatically enabled

  • New spaces have document activity automatically enabled

  • For each space

    • use Space tools>Document Management>Clear Document Activity

This option might be Clear History in some spaces using workflow data that has not been upgraded to use document activity.

  • The upgrade is rolled back and will need to be restarted

You can also cancel an in-progress pre-upgrade check for a space. If you are cancelling the pre-upgrade check, you need to run the check again before upgrading, so that the data can be updated.

A pre-upgrade data check that includes any errors on pages in a space will have an upgrade status of Partially Completed and display the number of pages with an error in the space and a downloadable Support Package file. If required, this can be attached to an Appfire support ticket.

The Support Package files linked in the Document Activity Upgrade console are temporary. If the Support Package is not found for a space, the Confluence Clean Temporary Directory job might have removed it, and you need to re-run the upgrade checks for this space.

Data will continue to be stored in XML format for the life of Comala Document Management 7+, and a recovery path is available.

The Document Activity Upgrade console enables admins to check the upgrade status for each space across their instance. After a successful upgrade, existing spaces with an applied workflow are identified in the console as Upgrade Completed.
