Overview

Comala Document Management 7 introduces an improved capability - Document Activity. This requires you to upgrade your data in spaces with pages and/or blog posts with an applied Comala workflow.

New spaces created in your data center instance will automatically use document activity data and do not need to undergo any data upgrade

Spaces in your data center instance that have not previously had a Comala workflow applied to any page or blog post will also automatically use document activity when applying a workflow for the first time and will not need to have the data upgraded.

Document Activity Upgrade Console

The Document Activity Upgrade console in global administration enables you to manage your data upgrade (and run pre-upgrade checks).

The data upgrade option is only available in Comala Document Management v7.0 and later. This requires Read Only mode in your data center to be enabled during the data upgrade.

We recommend that you update to the latest version of the Comala Document Management app before running the checks to ensure you have the latest set of use cases.

he Activity Upgrade console table displays the

  • List of the spaces that need upgrading

  • Total number of pages in each space

  • Total number of pages with workflow activity in each space

  • Current upgrade check and upgrade status

A summary of the console table can be copied using the option in the Pre-upgrade checks statistics dialog box.

Only spaces with workflow events or activity are listed in the console, and only these spaces have a document activity upgrade status.

Once the check has been completed and no errors are identified, the selected space(s) can be upgraded to use document activity data.

If no errors are identified, the pre-upgrade checks and upgrade of a space can be undertaken in a single action in Comala Document Management v7.0+.

Data upgrade process

Once you have completed the pre-upgrade checks, you can plan your upgrade activity to take place in

  • A single upgrade window

  • Across multiple upgrade windows

You do not need to have all your spaces upgraded at the same time.

The pre-upgrade checks and the upgrade can be run together in sequence for a space using the Document Activity Upgrade Console. You do not have to run these separately, but if running the upgrade, you must enable Read Only mode for the spaces being upgraded.

After a data upgrade to use Document Activity, the previous Page Activity data continues to be stored in XML format for the life of Comala Document Management 7.0, and a recovery path is available in the Document Activity upgrade console using the Revert Upgrade option. This recovery path does NOT include any data changes that occurred after the data upgrade.

Running the data upgrade

The displayed page tools menu option and workflow status byline link to the workflow activity are based on the space data status and not the page data status

What to do if any pre-upgrade checks or an upgrade fail?

A pre-upgrade check that includes any errors on pages in a space will display the number of pages with an error in the space and a downloadable Support Package file. This can be attached to an Appfire support ticket.

The Support Package files linked in the Document Activity Upgrade console are temporary files. If the Support Package is not found for a space, it might have been removed by the Confluence Clean Temporary Directory job, and you will need to re-run the upgrade checks for this space.
