    Enable and edit read confirmations

    Overview

    The read confirmation feature lets a workflow author request that users confirm they have read the content.

    In workflow builder, a workflow read confirmation can be made active for the workflow final state.

    It can be configured in the read confirmation editor.

    In the editor, you can

    • Automatically assign users to undertake the read confirmation

    • Set a due date for the read confirmation

    • Let users to edit the read confirmation due date

    • Let the reviewer decide if workflow-assigned read confirmation users (readers) are automatically assigned

    By default, read confirmation is active in a workflow, and one is added every time the workflow enters the final state during an approval transition.

    Readers can be added and edited using the read confirmation dialog box.

    Edit read confirmation

    In the workflow panel, choose Read Confirmation:

    This opens the read confirmation editor:

    Users can be assigned to the read confirmation by adding one or more

    • Users

    • Groups

    Users receive a request to undertake the read confirmation each time the workflow undergoes an approved transition to the final state. They can also view their own pending read confirmation requests in their user profile.

    The editor includes the following checkbox options:

    • Users will be able to change and remove the date

    When checked, users can edit the read confirmation due date using the read confirmation dialog box on the document

    • At final review, let reviewer decide if read confirmations should be assigned

    When checked, a checkbox option in the workflow state dialog box lets a reviewer decide on whether a read confirmation is added on transition to the final state

    Due date

    A Due Date can be added for the completion of read confirmations

    The due date can be set as:

    • Fixed Date (YYYY-MM-DD format, select from a calendar dialog box)

    • Period from the time of the approved transition to the final state ( as Year(s) / Month(s) / Day(s) / Hour(s) / Minute(s) / Second(s))

    • ISO_8061 format duration, for example, P1Y6M for 18 months; P1DT12H for 36 hours

    • Value reference, such as a workflow parameter

    Make the read confirmation inactive

    In the workflow panel, move the read confirmation green-tick slider to grey.

    Confirm the request to Disable the workflow read confirmation.

    The workflow panel displays the Read Confirmation as disabled. 

    You can also choose the Disable option in the read confirmation editor to make the read confirmation inactive.

    Activate the read confirmation

    If read confirmation is set as inactive for the workflow, make the read confirmation active by choosing Read Confirmation in the workflow panel.

    This opens the read confirmation editor to add any configuration required for the read confirmation.

    Choose Enable.

    Read Confirmation is made active for the workflow.

    After making changes in the editor, ensure you:

    • Choose Add in the read confirmation editor to confirm changes for the workflow read confirmation

    • Choose Save in the navigator panel to add these changes to the workflow
