Page and space workflow application

Overview

In a space, you can apply a Comala Document Management workflow in one of two ways:

  • Page mode - a workflow is applied on a document-by-document basis, and once applied, the workflow is unique to that document

  • Space mode - workflows are applied at the space level, and by default, applied to all the documents in the space

A workflow applied at the space level is added to a document in preference to any existing workflow applied on a document-by-document basis. This lets you centrally manage the workflow applied across your documents.

When a space workflow is not active on a document, a page editor can add a workflow to each page or blog post using the page tools menu option

The page tools menu option is not available if a space workflow is active and applied to a page.

Page mode application of workflows is great for development, training, or testing in a space, but it is difficult to centrally manage the workflow documentation processes.

In production spaces, it is recommended to apply your workflows as space workflows, letting the space administrator centrally manage the workflow process across your documents in the document management dashboard in a space. You can filter the application of each space workflow by content label filter and the content type (page or blog post), letting you use different workflows on different categories of documents in a space.
