Assign a task
Overview
Tasks can be assigned to users using the tasks dialog box.
Open the Tasks dialog box
Choose Tasks on the workflow status bar to open the tasks dialog box. Then, hold the pointer over an added task you want to assign.
Choose assignee
Choose the Assign task icon, and you'll see the assignment screen:
This works similarly to assigning reviewers to an approval, but you can only assign a single user to each task.
Click the grey radio button to select the assignee and choose Assign.
Unassign or reassign a task
You can unassign them by deselecting the radio button next to their name and choosing Unassign.
You can also reassign a task to a different user by searching for a different user and selecting them using the radio button. This automatically unassigns the previous assignee.
Adding a note
If you want, you can send an assignee a note when they are being assigned. This note is displayed in the task dialog box and sent as an email notification to the assignee.
Click in the box containing Add a note (optional), and enter the message.
You can also add a note when you assign, reassign, unassign, or delete the task.
Multiple tasks
You can add one or more tasks and, if required, assign each task to a user.
When an assignee looks at the task, they'll see a blue dot next to the task checkbox, and also on the icon on the Tasks link in the workflow status bar.
The tasks assigned to the current user viewing the tasks dialog box are listed at the top of the current pending tasks.
Notifications and reporting
Depending on the Comala app configuration (see below), anyone assigned to the task or watching the page receives a notification to let them know of the changes.
Pending assigned tasks for a user are displayed in the Document Actions report in the user profile.
Details of the changes will also be stored in the Activity Report - Content.
