E-signatures (credentials)

Overview

In a workflow, you may want your reviewers to electronically sign when approving a document. This setting can be enabled in the workflow for each approval individually.

Enable e-signature credentials in the workflow

The e-signature credentials requirement is set for each approval in a workflow. In a custom workflow, each approval can be edited using the workflow builder to require credentials.

To enable E-signature credentials,

  1. Go to your Confluence space and click Space settings.

  2. Click Comala document management under App links.

  3. You can either edit an existing custom workflow or create a new workflow. The visual builder editor opens.

  4. In the visual builder editor, click In Approval under States.

If you’re creating a new workflow, click on any State and then +add Approvals.

  1. Click Approvals to edit an existing approval or add a new approval.

  2. In the Add Approval/Edit Approval dialog, under Advanced > Credentials, you can choose whether reviewers must log in normally (Not required) or provide an e-signature to approve or reject content.

  1. Click Apply to create an approval with e-signature credentials enabled.

E-signature process and approval signing token

To digitally sign a document, you must enter a one-time signing token and email address.

When you try to sign in for the first time, you will see a Set up a personal code link. The Approve and Reject buttons remain disabled until the user sets up their personal code and enters both their email and token in the workflow dialog.

E-signature for an approval

To activate each approval in a workflow, the e-signature process requires the user to add their email and a valid signing token generated by the authenticator app.

To use your signing token for approval, you must have completed the following:

  • Enabled e-signature for one or more approvals in the workflow

  • Successfully initialized the signing token for the current Confluence instance using an authenticator app

Once the page is in Review or Draft state, open the workflow popup and add your email address and the authenticator app time-based signing token displayed on your smart device.

If there is a second content review in the workflow that has e-signature enabled, it also requires entering your username and a time-based token.

If more than one minute has passed since the last use, a new signing token from your authenticator app is required for the content review.

Once a valid signing token and email address are entered, the Approve and Reject buttons become active.

When there are multiple reviewers, each one must use their own approval signing token.

The e-signature process securely sends the user's email and signing token through the Comala server without storing them. E-signature does not work if your site is configured to use a single sign-on (SSO) through Atlassian Access.
