Workflow state dialog box
Overview
The workflow state dialog box lets you track every stage of the workflow process applied to a document.
The contents of the workflow state dialog box change to reflect the:
Current state of the workflow
Type of transition that is defined from the current state
If the state has a content review, it is characterized in the workflow state dialog box by buttons, usually captioned "Approve" and "Reject.”
Reviewers can use the dialog box to undertake an approval decision. In some workflow states, the state dialog box can be used to manually assign one or more reviewers.
Workflow progress tracker bar
The workflow progress tracker bar can be found at the bottom of the workflow state dialog box.
The progress tracker shows the current state in the workflow. Usually, the tracker displays all the states, although in some workflows a state may be hidden.
In the example tracker bar above, the workflow is the Quality Management System workflow. The state missing from the tracker bar is Obsolete. This Obsolete state only appears in the tracker bar when the workflow is in the state.
Hiding the workflow state on the tracker bar is sometimes used to support the team’s focus on the overall workflow.
Activity report
Use the workflow state dialog box three-dot menu options to open a report for the workflow activity on the page.
The page activity report is accessed for pages in legacy data center spaces using the page activity data format.
The document activity report is accessed in a data center space using the document activity data format (from Comala Document Control v2.0+).
Parameters
Use the workflow state dialog box three-dot menu options to open a dialog box to edit the values for any workflow parameters for the applied workflow.
This option is not displayed for the Simple Approval Workflow as it does not include any workflow parameters.
