Editing approval reviewers
In workflow builder, you can use the approval editor to manage the assignment of reviewers for an approval.
In the Reviewers options, you can allow anyone to approve or reject an approval by choosing Anyone can approve (no restrictions).
A reviewer must have at least view and edit permission for the document. A single reviewer’s approval or rejection decision transitions the workflow unless a value greater than 1 is added to the Minimum approvals box.
When adding a new approval, this is the default setting for the Reviewers.
Anyone can approve
This lets any user with view and edit permission for the content to make the approval decision using the workflow state dialog box.
In the workflow dialog box on the page, there is no option for manual assignment of a reviewer.
One user decision using the workflow state dialog box Approve or Reject button will cause the workflow to transition to the destination state (if the approved/rejected transition is configured for the state).
Minimum approvals
Anyone can approve can be configured to require more than one reviewer’s decision before a transition can take place by setting the number of reviewer decisions in the workflow builder by adding a value for Minimum approvals.
This requires the set number of reviewers to undertake the approval AND agree for the approval transition to occur.
This adds empty reviewer avatars to the workflow state dialog box on transition into the state for the set number of required reviewers.
Each user avatar and their review decision is added to the workflow state dialog box until the minimum number of reviews have been made, and the transition occurs.
A reviewer who has already made an approval decision can change their decision if the transition has not yet occurred.
In the workflow builder, only the approval name is displayed.
