Content Expiry Workflow
The Content Expiry workflow is one of three workflows included with the app. This workflow builds on the Simple Approval Workflow, adding an Expired state after a set period of the page being approved:
The workflow consists of four states
The workflow has a content review in each of the Review, Expired, and Rejected states. Individual or multiple reviewers can be assigned to each occurrence of a content review in each state.
The final state, Approved, has a due date added that expires and moves the workflow to the Expired state for review
Initial workflow setup
When applying the workflow, an initial setup is required to set the value for the due date expiry period for the Approved state.
The workflow has a default expiry period value of 5 months.
This workflow can be used to prevent approved content from going stale by automatically moving it to an expired state for review after a specified time period.
View-only users are directed to the most recent version of the Approved content whilst the draft content is updated and sent for further review.
Review state
This state requires a content review. Transitions are subject to an approve or reject decision.
One or more reviewers can be assigned using the workflow state dialog box
An Approve decision transitions the workflow to the Approved state
A Rejected decision transitions the workflow to the Rejected state
Rejected state
The Rejected state requires a content review. In this state, a transition occurs on an approved decision by a reviewer. A rejection decision causes no transition but is recorded by the workflow.
A transition also occurs automatically if the document in the Rejected state is updated.
Expired state
The Expired state requires a content review.
The approve and reject decisions of a reviewer transition the state.
One or more reviewers can be assigned using the workflow popup
An Approve decision transitions the workflow to the Approved state
A Rejected decision transitions the workflow to the Rejected state
If a document in the Expired state is edited and saved, the workflow transitions back to the initial Review state for further consideration.
Approved state
The Approved state is documents that have been through an approval process. A document in this state are your final published content.
The Approved document (the default value of the workflow parameter) expires 5 months after the content transitions into this Approved state. The workflow stores the due date period as an editable parameter value.
If the due date parameter value is changed, the updated due date period is only applied the next time the document transitions into the Approved state.
If the document is updated while in the Approved state, the workflow automatically transitions to the Review state
