The Simple Approval Workflow is one of three workflows included with Comala Document Control.

This workflow has three states: Review, Rejected,  and Approved, and it lets you ensure that content is reviewed and signed off.

The workflow has a final state and automatically defines content as approved content (Approved state) and two draft content states (Review and Rejected).

Workflow states

Review state

  • Requires a content review

  • One or more reviewers are assignable using the workflow state dialog box

  • Anyone (with edit permission) can undertake the review if no one is assigned

  • A reviewer can choose to disable the addition of a read confirmation on the transition to the Approved state

Rejected state

  • Requires a content review

  • One or more reviewers are assignable using the workflow state dialog box

  • Anyone (with edit permission) can undertake the review if no one is assigned

  • If the page or blog post is edited in the Rejected state, the workflow automatically transitions to the Review state when the change is saved

  • A reviewer can choose to disable the addition of a read confirmation on the transition to the Approved state

Approved state

  • Defined as the workflow final state for your approved document

  • No user transitions are available from this state

  • The workflow state dialog box:

    • Displays confirmation that the document has gone through an approval process

    • Includes the Activity report button linking to the page document activity report

  • If the page or blog post is edited in the Approved state, the workflow automatically transitions to the Review state when the change is saved

  • Users with View-only permissions are directed to view the last approved version of the content

Users with edit permission can approve or reject each content review unless one or more users have been assigned as reviewers.

A due date can be set on the Approved state; when this expires, the workflow automatically transitions to the Review state. If you require specific page expiry behavior, consider using the Content Expiry Workflow
