Add a workflow to a document

Add a workflow to a document

Overview

The app includes three workflows. You can add and apply a workflow to your pages or blog posts by either

  • Adding the page workflow to a single page or blog post on a page-by-page basis

  • Adding the space workflow across all the documents in a space

Add a workflow to a page

A page editor can add page-level workflow on a page-by-page basis using the Add Workflow option in the page tools menu.

  • Choose a workflow from the Add Workflow dialog box

  • Select Apply to add the workflow to the current page

The workflow state content byline is added to the page. An editor can use this to open the workflow state dialog box and manage the applied workflow. For example, the initial workflow state below requires a content review.

If the editor has Confluence view and edit permission for the page and space administrator permission, the Add workflow dialog box displays an initial choice of how to add the workflow.

You must choose to either add the workflow to the current page (as a page workflow) or apply it to all the documents in a space.

Add a workflow to all documents in a space

The space administrator can apply a workflow to all the pages and blog posts in a space using the app space document control dashboard.

  • Choose Document Control from the space tools menu

The simple approval workflow is displayed in the space document control dashboard.

Move the grey slider to green to apply the Simple Approval Workflow to all the pages and blog posts in the space.

The space administrator can change the current space workflow by choosing Change Workflow and selecting one of the other workflows included with the app.
