Snapshot Publishing - space configuration

Overview

The space snapshot publishing dashboard is used to manage snapshot publishing and snapshot collections in a space.

A space administrator must enable Snapshot Publishing in the space by choosing Use Snapshots. Once active, the space administrator can

Enabling Snapshot Publishing in a space

The space must be enabled to use Snapshot Publishing by a global administrator.

Once enabled at the global level, it is the space administrator who enables snapshot publishing in a space by choosing Use Snapshots in the snapshot publishing dashboard.

To access the snapshot publishing dashboard, a space administrator must be a collection manager - a member of the Confluence user group added to the Collections Managers group in Comala Publishing global Snapshot Publishing configuration

To open the Snapshot Publishing dashboard for a space

  • choose space tools

  • select Snapshot Publishing

If snapshot publishing has not previously been enabled for the current space choose Use Snapshots.

By default, a collection is added to the space on the first use of the snapshot publishing dashboard.

This collection is named using the current space key.

A Create snapshot option byline is added to

  • all documents in the space

  • any new documents added to the space

The space administrator must change the default collection permissions to allow users to view or contribute snapshots to the collection.

The space administrator has the following options

Add Collection

A space administrator creates a new collection in the space using the Add Collection option.

Add the new collection name and any collection view and contribute user permissions.

Choose Save to add the new collection to the snapshots publishing dashboard.

The space administrator will be the collection manager.

Link Collections

A space administrator links a collection to the space using the Link Collections dropdown menu.

Once a collection is linked to a space, snapshots can be added to the collection from the Confluence space content.

Manage a collection

A space administrator manages a collection in a space using the collections ellipsis menu.

  • Edit the collection settings including user view and contributor permissions

  • Unlink the collection from the space

  • Remove the collection to delete the collection from the instance

Removing the collection does not delete any snapshots in the collection. These snapshots will remain in any other collections they were added to. If there is no other collection in the space that contains a snapshot, the snapshot is added to a default Unassigned collection in the space.

The space administrator requires the appropriate collection permissions.

If the space administrator is not the collection owner, the ellipsis menu only displays enabled options to

  • View the collection settings

  • Unlink a collection from the space

Manage snapshots in a collection

A space administrator manages a snapshot in a space using the snapshot document ellipsis menu options.

  • Link to - link the snapshot to another collection linked to the space

  • Move to - move the snapshot to another linked collection in the space

    • Move to also removes the snapshot from the current collection

  • Remove from the collection - remove the snapshot from the collection

Removing the snapshot from the collection does not delete the snapshot. It will remain in any other collection it was added to.

If there is no other collection in the space that contains this snapshot, the snapshot is automatically added to a default ”Unassigned” collection in the space.
