Publishing using a Comala workflow

Publishing using a Comala workflow

Overview

Publishing of a pages can be automated using Comala Publishing with an applied Comala Document Management workflow.

Pages in the source space can be published automatically using the applied workflow in one or more of the following ways:

Pages can still be published using single-page and whole-space publishing when publishing is configured to use a Comala workflow in the source space.

Publish a page on a transition to the workflow final state

A page is automatically published on the transition to the final state in the applied workflow. The workflow final state is usually your final approved page.

See: Publish a page on transition to Comala workflow final state.

Publish a page on a workflow trigger event

In Comala Document Management, you can also choose to publish a page automatically on a workflow event, such as a change of workflow state.

This enables flexible publishing, automating publication at different workflow stages.

A workflow trigger Publish Page action can be added to a custom workflow to undertake the publishing action, for example, on a transition to the First-Publish state.

Adding a workflow publishing trigger does not disable publishing on a transition to the final state. The page is published on the workflow trigger event and on the transition to the final state.

To prevent duplicate publishing, do not use the Publish Page trigger action on a transition to the final state.

You can also add the workflow trigger as JSON code to a custom workflow.

See: Use a Comala workflow trigger to publish a page.

Space publishing of pages in the workflow final state

The space administrator can limit a Space publish action to only publish pages in the workflow's final state by enabling the Only publish pages if they are in the final state of the workflow option in the app space settings.

Pages that are not in the final state are not published.

See: Space publish all the pages in the workflow final state.

Publishing from the publishing report using the workflow final state

When the final workflow state filter is applied, the space administrator can publish all pages in the workflow final state using the Publish option in the publishing report.

You can use the Final workflow state filter in combination with the Publishing state and the page Title filters to target pages for publishing.

Making the Final workflow state filter inactive in the publishing report does not change the app space setting.

Comala Document Management family of apps

A workflow from one of the Comala Document Management family of apps can be applied to pages and blog posts; Comala Publishing only publishes page content. The Comala Publishing app ignores blog posts with a Comala workflow applied.
