    Overview

    Content reviews, often called approvals, focus on approving or rejecting a page or blog post.

    If a content review is added to the state, the workflow state dialog box includes two options for a user to undertake an approval decision. By default, these are captioned Approve and Reject. The content review, when completed, is usually configured to transition the workflow state based on whether the review was approved or rejected.

    Content reviewers

    Reviewers can be anyone with edit permission for the page. These usually require only one reviewer’s decision to complete the approval, and no one is assigned, or can be assigned.

    In some workflow reviews, another user can manually assign one or more reviewers. Once a user is assigned, no one else can undertake the review unless they are assigned.

    A minimum number of reviewers can be set to undertake and agree on the review decision to complete the review. The state dialog box displays empty user avatars to indicate this is required.

    In some cases, the review can have different names for the approval decision options to help reviewers understand the context of the decision.

    Reviewers can also be

    • Limited - This can be specified for users or groups, or to exclude some users

    • Mandated - Set users or groups must all undertake the review and agree, and are automatically assigned by the workflow on transition into the state

    If reviewers have been assigned manually or by the workflow on transition to the workflow review state, you'll see them listed on the workflow state dialog box, along with the current status of their approval review decision.

    When you are assigned to a review

    • The status indicator circles become filled when you view the page or blog post: 

    • You'll receive a notification in the Confluence workbox notifications and, usually, an email depending on the space notification settings.

    Once a reviewer is assigned, only assigned reviewers can undertake the review.

    If there is more than one reviewer, all the reviewers must agree for a transition to take place.

    You can add a comment before submitting your review. The comment is sent to other participants in the related notification and tracked in the page activity report. It is submitted when you click either the Approve or Reject button.

    Approval roles

    If the optional approval role feature is enabled, you can add a descriptive role when assigning a reviewer. A reviewer’s role is displayed as a colored lozenge in the workflow dialog state dialog box.

    The approval role is recorded in the page activity report.

    Credentials check

    Depending on workflow configuration, you might be required to confirm your identity by entering your password and sometimes also your username.

    If you see this screen, ensure that your browser has a secure connection to the server (padlock in the URL bar) before entering your details.

    A global administrator can configure the identity authentication method to use a signing token. Each user reviewer needs to set up a third-party authentication app to generate and add a signing token each time they undertake an approval
