Workflow integration

For organizations requiring formal approval processes or compliance validation, Electronic Signatures can be integrated into Jira workflows to enforce signature requirements at critical transition points. Validators act as gatekeepers in your workflow, preventing issues from progressing to the next status until all required signatures are obtained, ensuring no step in your approval process is bypassed.

Project type limitation
The workflow configuration capabilities described in this section can only be applied to company-managed projects. Team-managed projects have different workflow management capabilities and might not support all Electronic Signatures validators and post functions due to current Jira Cloud limitations.

Electronic Signatures for Jira Cloud provides two types of validators:

  • Current user validator: Requires the current user to sign the issue before proceeding to the next workflow state.

  • Multiple Users Validator: Requires signatures from multiple users (typically from a specific group) before the transition can proceed.

Configure a current user validator

  1. Navigate to Project Settings > Workflows.

  2. Select a relevant workflow and open it for editing in Diagram view.

  3. Select the transition that requires a signature.

  4. In the options panel, click Validators.

  5. Click Add validator and select the Issue contains user E-Signatures option.

  6. Click Add to save the validator.

  7. Publish the modified workflow.

Once configured, users must sign the issue before they can transition it to the target status.

Configure a multiple-user validator

Before you start:

  • Create a Jira user group and add all necessary users (required signers) to this group before configuring the validator

Configuration steps:

  1. Navigate to Project Settings > Workflows.

  2. Select a relevant workflow and open it for editing in Diagram view.

  3. Select the transition that requires a signature.

  4. In the options panel, click Validators.

  5. Click Add validator and select the Issue contains E-Signatures of a group of users option.

  6. Configure the validator parameters:

    • Select group: Choose the user group containing the required signers.

    • Minimum signatures: Enter the number of signatures required from the group

  7. Click Add to save the validator.

  8. Publish the modified workflow.

Important:

  • Update the validator when adding or removing users from the group.

  • Signatures obtained before users join the group are not counted toward the requirement.

  • All required signatures must be current and valid for the transition to proceed.
