Feature tour
Comala Publishing Data Center is used to publish and sync pages and blog posts between a source space and a target space in the same Confluence instance. You also create static versioned snapshots of documents and manage these in collections.
Space publishing
Publish and sync documents from one space to a selected target space in the same instance:
Publish all the documents in a space
A space administrator can publish and sync all the pages and blog posts in a source space to a chosen target space in the instance. The publishing state PUBLISHED is added to the linked document.
Once a page is published and synced, changes to the page in either space set the publishing status as Out of sync. When a new page is created in the source space, its status is set as New
Publish a single page
An editor can publish a single page from the Publish option on the page.
If required, a space administrator can make single page publishing inactive in a space.
Choose what data is published and synced
Page Content Options - Settings
A space administrator can configure what document data is included when a document is published and synced.
The following content data can be included or excluded when publishing documents: content properties, labels, page-level restrictions, and version comments
You can also choose to override the target space page history every time a publish and sync occurs.
When space publishing, pages, blog posts, or both can be configured to be included using the space sync conditions.
Choose what to sync
Space sync conditions - Settings
When publishing the whole space using the app space settings, a space administrator can choose what is published and synced.
Options include publishing:
Top-level pages
Always publish all documents irrespective of the current publishing state
Deleting target space documents not in the source space
Only documents in the final state of an applied Comala workflow
Publishing can also be configured to sync content based on a label set by the global administrator.
Reporting
The View changes option in the space publishing dashboard lets a space administrator view the current publishing status of pages in the source and target spaces. It displays the Confluence version, publishing status, date of last update, and the user who made the update.
The report can be filtered by document name, publishing status, last updated by, and updated date range
Automated publishing of approved documents
Using publish and sync with the Comala Document Management family of apps
The app integration with Comala Document Management lets you use an applied Comala workflow to automatically publish a document when it is approved. Publishing is automatic when the workflow transitions to the final state, or you can add a workflow trigger to publish on a different workflow event.
Snapshot publishing
You can use the app to capture dynamic page content in a static versioned snapshot of your Confluence documents.
Create a versioned snapshot document
You can use snapshot publishing to create a static versioned copy of a Confluence document at a specific moment in time.
Snapshot documents can be organized and shared by adding them to one or more snapshot collections. The collection manager, who creates the collection, can share it to any users or user groups who are given viewing permission.
Manage snapshot documents in one or more collections
A snapshot collection is a curated repo of snapshot documents. You can add or link a collection to a space, and add snapshot documents created in the space. Collections can be linked to several spaces, letting you curate content from these different spaces and also manage who can see each collection.
You can view collections across the instance using the collections global viewer in the Confluence header menu.
Automate your snapshot publishing of documents
Using snapshot publishing with Comala Document Management
The app integration with Comala Document Management lets you use an applied Comala workflow to automatically publish a snapshot. You can add a workflow trigger to create a snapshot publish on a selected workflow event.
Copy space
You can use the app to copy space content from one space to another space in the same instance.
This feature lets the space administrator make a one-off copy of the whole space. The target space for the copied documents is configured separately from the space publishing target space, and the space administrator can choose what type of documents and data is copied.
